Anyone who has dealt with private medical insurers knows that submitting the claim isn’t always the end of the job.

Claims need to be submitted correctly, payments checked, discrepancies investigated and outstanding or rejected claims followed up.

I can manage this process on behalf of your practice, including submitting claims, dealing with insurer queries, checking and reconciling payments and following up outstanding, delayed or rejected claims.

It means somebody is actively keeping an eye on what’s been billed, what’s been paid and what still needs attention — without the clinician having to spend valuable time dealing with insurer administration.

Patient payments, invoicing & credit control

I can manage invoicing and patient payments, keep track of outstanding balances and follow up unpaid invoices professionally and sensitively.

Where payments come from a mixture of self-paying patients and private medical insurers, I can keep everything organised so it’s clear what has been invoiced, received and remains outstanding.

And when something doesn’t match, I’ll investigate it rather than simply leaving it sitting on the accounts.

Appointments, patients & practice administration

A busy clinic generates a surprising amount of administration.

Depending on the practice, I can help with appointment administration, patient emails and telephone enquiries, clinic correspondence, letters and communication with consultants, doctors and other healthcare professionals.

I understand that patient communication needs to be professional, clear and handled with care.

When you’re seeing patients, you should be able to concentrate on seeing patients.

Bookkeeping & financial support

I can take care of day-to-day bookkeeping, bank reconciliations, invoicing, credit control, VAT where applicable, financial administration and regular management information.

I can also prepare everything required for year-end and work directly with your external accountant where needed.

I don’t prepare statutory accounts. My role is to make sure the financial records behind them are organised, accurate and ready for your accountant.

Comfortable with healthcare systems

I already have experience with specialist private healthcare software including Cliniko and Semble, alongside Xero and the payment, banking and administrative systems used within practices.

But I’m not tied to particular software.

If your practice uses something different, I’m comfortable learning it and working within the way your practice operates.

You might be a consultant running an individual private practice, a clinic with several practitioners, or a growing practice where the administration has become too much for the clinical team to manage alongside patient care.
