Who I am

JMH Bookkeeping provides bookkeeping, finance and business support. This notice explains how I use personal information when you visit my website, contact me or engage my services.

I am Janka Housley, a sole trader trading as JMH Bookkeeping. I am responsible for the personal information covered by this notice where I act as the data controller.

Information I collect

Depending on how you interact with JMH, this may include your name, business name, contact details, information you provide in an enquiry, correspondence, and information needed to agree, deliver and invoice for services.

The website enquiry form asks for your name, email address, subject and message. Google reCAPTCHA is used for spam protection.

When you submit an enquiry, WordPress also records technical details such as your IP address, browser information, the page used and the submission date and time. These help operate the form and investigate spam or delivery problems.

I receive information directly from you. I may also receive relevant information from someone acting on your behalf, such as a colleague or accountant.

Please do not include patient details or other sensitive personal information in a website enquiry.

How and why I use your information

I use personal information for the following purposes:

  • Responding to enquiries and arranging support: taking steps at your request before entering a contract, where you would be the contracting individual; otherwise, my legitimate interest in responding to business enquiries and discussing services.
  • Delivering agreed services and managing our relationship: performing a contract with you, where you are the contracting individual; otherwise, my legitimate interest in providing services to the business you represent.
  • Keeping records required by law: complying with legal obligations, including applicable tax and accounting requirements.
  • Maintaining and protecting the website: my legitimate interest in operating a reliable, secure website, where relevant.

I do not currently use your information to send newsletters or marketing emails. I do not use Google Analytics, advertising tracking or visitor-statistics services.

If information is needed to enter into or fulfil our agreement, I will explain this when requesting it. Without that information, I may be unable to provide the requested service.

Information handled on behalf of clients

My work may involve handling personal information within a client’s systems, including information about their customers, suppliers, staff or patients.

For patient-related work, I use cloud-based systems including Cliniko, Semble and Birdie. Patient information remains within these systems; I do not download or save it to my computer, Dropbox or my own server. My access to these patient systems is removed when I stop working with the client.

Where I act as a processor on a client’s behalf, the client is responsible for deciding how that information is used. Their privacy notice applies to that use, and I handle the information under their instructions and our agreed data protection arrangements. Requests about those records should normally be directed to the client.

Who receives information

Information may be handled by providers used to operate the business, such as email, website hosting, enquiry-form, cloud-storage and accounting providers, where needed for their services. It may also be shared with professional advisers or authorities where required by law.

My email service is provided by DreamHost, which handles information included in emails sent to and from JMH. My website is hosted on an OVH server in the UK.

I use a personal Dropbox account, my computer and a secured server to store business documents. Xero is the main accounting software I use for JMH’s own accounts.

The secured server is located in the UK. No other person has access to JMH’s emails, stored business documents or Xero account.

The website uses Contact Form 7 and Google reCAPTCHA to operate and protect its enquiry form. The enquiry form also stores submissions in WordPress using the Flamingo plugin.

Information handled outside the UK

The website server is located in the UK.

Some service providers may store or process information outside the UK:

  • DreamHost: its published data-processing terms allow processing in countries where it and its service providers operate. Those terms include standard contractual clauses with a UK transfer addendum where applicable.
  • Dropbox: its privacy policy describes processing in the United States and other countries, using transfer arrangements such as the UK Extension to the EU–US Data Privacy Framework and contractual safeguards where applicable.
  • Xero: its privacy notice describes processing in countries including Australia, New Zealand and the United States. Its data-processing terms provide for UK transfer safeguards where required.
  • Google reCAPTCHA: Google’s published documentation describes its role as a processor of reCAPTCHA customer data under Google Cloud service and data-processing terms. Those terms provide international-transfer arrangements, including UK safeguards where applicable.

How long I keep information

  • Enquiries that do not lead to work: deleted from both email and WordPress as soon as it is established that the enquiry will not result in a client relationship.
  • Former-client working documents and correspondence: retained for one month after the working relationship ends to deal with follow-up queries.
  • JMH’s own accounting and tax records: retained for six years after the relevant Self Assessment filing deadline.
  • Website form submissions follow the enquiry and client-retention periods above. Retention of technical logs and backup copies depends on their purpose, including website security, troubleshooting and recovery.

I review information for deletion or anonymisation when it is no longer needed, unless there is a legal requirement or another justified reason to retain it.

Cookies

The website uses Google reCAPTCHA for spam protection. Google’s documentation identifies a reCAPTCHA cookie used when the service runs to assess automated activity. JMH does not use analytics or advertising tracking.

Your rights

Depending on the circumstances, you may have the right to access your personal information, correct it, request its deletion, restrict its use, object to its use or request a portable copy. Where use is based on consent, you can withdraw that consent at any time without affecting the lawfulness of earlier use.

The website uses reCAPTCHA’s automated spam assessment to help protect the enquiry form.

Complaints

If you are concerned about how I handle your information, please contact me so I can look into it. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator, without first contacting me.

I will update this notice when needed to reflect changes in how JMH handles personal information. The date at the top will show when it was last updated.
